Carrier consulting
Run a tighter carrier, then grow it
We look at how your carrier runs and where it loses money, put it in writing, and help you fix it. For new authorities and growing fleets. Fixed scope, quoted after a call.
Diagnostic · fixed scope
Carrier health check
A structured look at your numbers and how the office runs. It ends in a written list of weak spots, ranked by what each one costs you.
- Who it's for
- Owners who are busy but not making the money they should, or who can't say which trucks, lanes or customers pay.
- What you get
- A review of the eight areas below against your own numbers
- A written report, with weak spots ranked by what they cost
- A fix list in order: what to change first and who should own it
- A call to walk through the findings
- Typical length
- 2–3 weeks after we receive the data.
- What we need from you
- Three to six months of books, load records, settlement statements, fuel card exports and factoring reports.
Setup · fixed scope
How to run a carrier
How the office should work day to day: dispatch, driver pay, compliance dates, billing and cash. Set up so the business doesn't depend on one person remembering everything.
- Who it's for
- New authorities setting up, and owners who run everything themselves and want the office to run without them.
- What you get
- A written weekly and monthly routine for dispatch, settlements, billing and collections
- A compliance and renewal calendar
- A weekly cash view: what comes in and what goes out
- Who does what, written down, so you can hire into it
- Typical length
- 3–6 weeks.
- What we need from you
- Time with whoever does the work today, and access to the tools you use.
Planning · fixed scope
Growth plan
What breaks as a carrier grows from a few trucks to dozens, and the order to fix it in before it costs you.
- Who it's for
- Carriers planning to add trucks, drivers or a second dispatcher, or who grew fast and feel the office falling behind.
- What you get
- A step plan for your next size: people, dispatch, systems and cash
- The cash each added truck needs, built from your own cost per mile
- The roles to hire next and what each one owns
- The numbers to watch every week as you grow
- Typical length
- 2–4 weeks.
- What we need from you
- Your current numbers, and where you want the business to be in one to two years.
What we look at
Eight places carriers lose money
Every health check covers these. If the numbers point somewhere else, we follow them.
- 01
Deadhead miles
Empty miles you pay for and nobody pays you for.
- 02
Unbilled detention
Waiting time at docks that never makes it to an invoice.
- 03
Slow collections
Days between delivery and cash, and what factoring costs you.
- 04
Rates below cost
Loads booked under your real cost per mile.
- 05
Driver pay drift
Settlements that don't match the pay plan you agreed.
- 06
Fuel spend
Cents per mile against what your trucks should get.
- 07
Idle trucks
Equipment you pay for every month that isn't earning.
- 08
Office time
Hours spent retyping the same data into three systems.
Consulting and accounting work together
Consulting finds what to change. Monthly bookkeeping keeps the numbers that show whether it worked. You can hire us for either one on its own.
What we don't do
- We don't dispatch your trucks or broker freight.
- We don't prepare or file tax returns or tax filings.
- We don't give legal or investment advice.
- We don't hold or move your money.
Questions
Before you call
Do you work with new authorities?
Yes. Setting up how a carrier runs is easier before the habits form. We start from your first trucks and the lanes you plan to run.
Do you guarantee results?
No. You get written findings and a plan you can check. The decisions, and the results, stay yours.
Do I need to use DispatchTrace?
No. We work with the tools you already have. If software is part of the problem we'll say so, and we'll tell you up front that we make a TMS.
How is it priced?
After a first call we send a written scope and a fixed price. Nothing starts before you agree to both.
